When you submit a contact or mockup request form, we may collect:

•      Existing website details

•      Service plan interest (Starter, Growth, or Pro)

•      Any message content you choose to provide

 

3b. Client Contacts

When you become a client, we hold personal data about the individual(s) representing your business. This may include your name, email address, phone number, and access credentials to third-party platforms such as your domain registrar, Google Business Profile, or other accounts you have chosen to share with us for the delivery of our services. This data is used solely to provide, manage, and communicate about the services in your subscription. Access to client credentials is restricted to Stellix Group Ltd directors only and is not retained beyond the end of your subscription, unless required for tax or legal compliance.

 

3c. Analytics Data

Where you consent to analytics cookies, we collect anonymous usage data including pages visited, time on site, and referring source. This is processed via Google Analytics (GA4) and Microsoft Clarity.

 

4.How We Use Your Data

•      To respond to enquiries and generate your free website mockup.

•      To follow up on your mockup request and discuss our services with you.

•      To provide and manage your monthly subscription(Starter, Growth, or Pro).

•      To communicate with you regarding your account, project updates, or service changes.

•      To understand how visitors use our website and improve our services (analytics, with consent).

•      For B2B outreach to prospective clients in the automotive trade sector (see Legal Basis below).

 

5.Legal Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

Legitimate Interest

We rely on legitimate interest as the legal basis for the following activities:

 

•      Mockup enquiry follow-up: Following up on mockup requests

When you request a free mockup, we have a legitimate interest in contacting you to discuss the preview we have created and our services. We have balanced this against your interests and concluded that, as you actively initiated contact, this processing is proportionate and unlikely to cause harm. •      B2B outreach: B2B marketing to prospective clients

We may contact individuals at businesses in the automotive trade sector who we believe would benefit from our services. We have identified a legitimate business development interest in doing so, and have concluded this is justified given that our outreach is targeted, relevant, and directed at business contacts rather than private individuals. You can opt out of any such communications at any time by emailing hello@stellix-results.com.

 

•      Website security: Essential website functionality and security

We process limited technical data (such as IP addresses and server logs) to protect the security and integrity of our website. This is necessary for the legitimate interest of maintaining a safe and functioning service.

 

Contractual Necessity

To deliver and manage active subscriptions once you have signed up as a client — including billing, service delivery, and account communications.

 

6.Marketing Communications

When you submit a mockup request, we may follow up by email or phone regarding your enquiry and the mockup we have created for you, on the basis of legitimate interest.

 

In the future, we may contact you with relevant information about our services or offers. Where we do so, we will always provide a clear and simple way to opt out. You can withdraw from any marketing communications at any time by emailing hello@stellix-results.com or using the unsubscribe link in any email we send.

 

7.Automated Decision-Making

We do not use automated decision-making or profiling in anyway that produces legal or similarly significant effects on individuals.

 

8.Data Retention

•      Contact form and mockup request submissions are retained for 12 months from the date of submission, unless you request earlier deletion.

•      Client data for active subscriptions is retained for the duration of the contract plus 6 years for UK tax compliance purposes.

•      Analytics data via Google Analytics (GA4) is retained for 14 months, as consciously configured in our GA4 property settings.

•      Microsoft Clarity data is retained for 13 months in accordance with Clarity's default settings, which we have reviewed and accepted.

•      Client platform credentials are not retained beyond the end of a subscription unless required for legal or tax compliance.

 

9.Your Rights Under UK GDPR

You have the following rights regarding your personal data:

•      Right of access — to request a copy of the personal data we hold about you.

•      Right to rectification — to request correction of inaccurate or incomplete data.

•      Right to erasure — to request deletion of your data where there is no compelling reason for its continued processing.

•      Right to restriction — to request that we limit how we use your data in certain circumstances.

•      Right to data portability — to receive your data in a structured, machine-readable format.

•      Right to object — to object to processing based on legitimate interest, including direct marketing.

•      Right to withdraw consent — at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal.

10.Third-Party Sub-Processors

We share data with the following third-party processors where necessary to deliver our services:

 

•      Webflow Inc.: Website design platform and hosting infrastructure for client websites. Data may be processed outside the UK.

•      Cloudflare Inc.: DNS, CDN, and security services. Data may be processed outside the UK.

•      Stripe Inc.: Secure payment processing for monthly subscriptions. Data may be processed outside the UK.

•      Google LLC (Google Analytics): Website usage analytics, used with your consent.

•      Microsoft (Clarity): Session recording and heatmap analytics, used with your consent.

•      Google LLC (Google Workspace / Drive): Internal business operations, email, and document storage.

•      Google Tag Manager: Tag and tracking script management on client websites.

 

We may onboard additional sub-processors as our services develop. Where this involves processing your personal data, we will update this policy and ensure appropriate safeguards are in place before doing so.

 

11.International Data Transfers

Some of our third-party processors (including Google, Microsoft, Stripe, Webflow, and Cloudflare) may process personal data outside the UK. Where this occurs, we ensure that appropriate safeguards are in place, including Standard Contractual Clauses (SCCs) and adequacy decisions recognised under UK GDPR, to ensure your data receives an equivalent level of protection.

 

12.Security Measures

We take reasonable and appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. These include:

•      All data transmitted via our website is encrypted usingHTTPS/TLS.

•      Internal documents and client data are stored on GoogleDrive, with access restricted to Stellix Group Ltd directors only.

•      Client platform credentials are handled on a need-to-know basis and are not shared beyond the two directors.

•      We use strong, unique credentials and password management tools for all business accounts.

•      Our devices are protected by operating-system-level encryption and up-to-date security software.

 

While we take these measures seriously, no method of data transmission or storage is 100% secure. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the Information Commissioner’s Office (ICO) as required under UK GDPR.

We use cookies on our website for essential functionality and, where you consent, for analytics purposes via Google Analytics and MicrosoftClarity. You can manage your cookie preferences at any time via our cookie consent tool or by adjusting your browser settings.

 

We do not currently use Google Tag Manager or MicrosoftClarity on our own website. Where we deploy these tools on client websites on your behalf, this is done under separate arrangements and governed by the relevant platform terms.
